CLEAR ANSWERS, NOT ASSURANCES

Questions landlords should be able to ask an AI property manager.

Aptoria is AI property management software for landlords and small-to-mid-size property-management firms. Landlords set the limits Aptoria will work within, and decisions such as denying an applicant, deducting from a deposit, or ending a lease always stay with a person. These answers say what an account can do today and what is planned; they are not guarantees.

Is Aptoria legitimate?

Aptoria is AI property management software with public documentation of its current scope, control boundaries, security practices, and founder operating context. It is early, so it does not present modeled outcomes or anonymous testimonials as measured proof. The public fact record links each material product claim to its source.

Is Aptoria safe for rent-related work?

Aptoria doesn’t collect rent online yet. Today it shows the rent roll, tenant balances, and a monthly rent reconciliation for the leases in your workspace. No money moves through Aptoria today. Today an Aptoria account can add properties and units, set the limits Aptoria works within, see the rent roll and tenant balances, see a monthly rent reconciliation, see a cash-flow projection, preview what a late fee would be, and fill in notices from templates. Its hardcoded limits are published, and no setting can loosen them. No software removes the need for your own judgment.

Does Aptoria hold my rent?

No. Aptoria doesn’t collect rent online yet, so it holds no rent. When rent payments are enabled, a payment provider will move the money and Aptoria will not hold it. Review the provider terms before you turn payments on.

What can Aptoria’s AI not do on its own?

Aptoria has 14 hardcoded limits no setting can switch off: 8 actions always require a human, and 6 are prohibited outright. A person must make these decisions, and Aptoria will never make them on its own: terminate a lease, file or advance an eviction, deny an applicant, deny an accommodation request, deduct from a security deposit, serve a rent-increase notice, send a formal collection demand, report a resident to a credit bureau. Aptoria does not do these at all: pool your data to set rents, set rent from external data, downgrade or close a habitability concern, override a deposit deadline, impose a mandatory fee, score a resident’s risk. Approvals and account settings cannot unlock a prohibited action. This list is the published human-required floor (version 2026-09-06.1).

How does landlord approval work?

You can set the limits Aptoria will work within, such as spending caps, in your workspace settings. Changing them requires two-factor sign-in. Aptoria doesn’t carry out routine work on its own yet. Today you can set the limits it will work within, and its hardcoded limits are published. AI drafting is planned too, so nothing waits in your approval inbox yet. When those features are enabled, work outside your limits will come to you for approval with its source facts.

Can I cancel or reverse an action?

When rent payments are enabled, every money movement can be cancelled within 15 minutes; no money moves through Aptoria today. Undo for autonomous actions is planned; nothing runs on its own today. The emergency stop pauses Aptoria for your whole organization and cancels anything still pending; because nothing runs on its own today, there is nothing for it to stop yet. A completed external payment, sent message, or provider action may not be reversible.

How much does Aptoria cost?

Aptoria publishes per-unit subscription pricing on its pricing page, with plans starting at $19/mo for up to 5 units. Payment-provider and other third-party fees are separate where they apply.

Can I switch to Aptoria from my current property-management software?

Adding or importing tenants in Aptoria is planned. Today you add your properties and units yourself, and the migrations page lets you check an export’s column headers in your browser without uploading it. For now, keep your current system for tenants, leases, and payments.

Which tools does Aptoria integrate with?

Today Aptoria uses Resend for its own account and waitlist email, and two-factor sign-in. AI drafting, Stripe rent payments, Plaid bank linking, Twilio texting, e-signature, QuickBooks and Xero export, the public API, and Zapier-style automations are planned. The integrations page lists every provider with its current status.
