Source-system decommission acceptance after PMS migration

Retire a legacy property-management system only after data, audit, access, integrations, records, and recovery obligations have explicit owners.

Technical content review: Codex technical editorial review. Reviewed intent separation, internal consistency, original operating artifacts, hypothetical examples, source limits, and links. No legal, accounting, banking, security, safety, privacy, or human professional approval is claimed.
This is a technical review, not independent human or professional review.
The short answer
Decommission the source PMS only after confirming required records and reports are preserved and retrievable, reconciliations and acceptance are complete, residual integrations and scheduled jobs are retired, users and credentials are removed, contractual and retention decisions are approved, and a named archive or recovery owner can answer future questions.

Key takeaways

  • Read-only is a controlled phase, not automatic retirement.
  • An export is useful only if it can be interpreted and retrieved.
  • Prove residual writers and integrations are gone before cancellation.

Inventory every reason the source still exists

List unresolved defects, rollback dependencies, historical reports, ledger detail, documents, audit logs, communication history, open transactions, tax or legal retention questions, integrations, scheduled jobs, exports, API consumers, users, vendor support, and contract dates.
GAO guidance identifies archive decisions and post-go-live actions as migration practices. Retention and contractual requirements still need qualified, organization-specific review.

Require independent acceptance gates

One project manager should not infer every domain is ready from a quiet help desk.

OperationalTarget workflows and open items acceptedStaff still consult source for current work
FinancialRequired balances/reports reconciledFirst close remains unresolved
RecordsArchive population, metadata, and retrieval testAttachments exported without relationships
TechnicalJobs, webhooks, feeds, and APIs retiredSource can still send or receive writes
Access/securityUsers, tokens, shared links, and vendor access closedFormer user retains read access

Execute shutdown as a reversible checklist where possible

Create final exports and integrity evidence, run retrieval samples, disable writers and integrations, revoke credentials, capture final configuration and support contacts, follow approved retention and disposal decisions, and obtain domain sign-offs. Preserve the exact shutdown time and vendor confirmation.
After decommissioning, monitor for failed dependent jobs, missing report requests, or access attempts. A late dependency becomes an incident or archive exception, not a reason to recreate uncontrolled source access.

Edge cases

  • The vendor offers only a proprietary archive: test access and export before cancellation.
  • One unresolved tax or legal record class exists: keep the required boundary under qualified review.
  • Rollback credentials are still active after the window: revoke them through the approved decision.
