One application rarely owns every fact. The signed lease and amendments may control rent and dates; the ledger controls posted charges and credits; the payment provider controls processing state; the bank controls settled cash; the work order controls maintenance chronology; and a consent record controls allowed channels. Document ownership at that level.
Use a compact data dictionary with the field, business meaning, authoritative source, record ID, effective-time rule, allowed editors, downstream copies, conflict rule, and retention owner. “PMS” is too vague if a bank feed can overwrite a posted payment or a CRM can replace a lease address without review.
Keep source data separate from derived views
A rent roll, delinquency report, dashboard, AI summary, and owner statement are derived views. They can be useful and correct while still not being the source. Store the inputs, definition, report date, entity scope, and transformation so the view can be reproduced and challenged.
Avoid copying a derived number back into a source field. If “outstanding balance” is calculated from charges, credits, and payments, importing the displayed balance as a new charge double counts the obligation. Preserve the components and reconcile the calculated result.

Useful provenance includes source system, original record ID, received time, effective time, actor or integration, transformation, previous value, approval, and reason. For a manual correction, record who changed the value and link the lease, bank evidence, invoice, or other support.

A model-extracted lease date should retain the document, page or section, extraction time, model or workflow version where available, confidence or abstention state, and reviewer disposition. The extracted value should not silently replace the signed document.
Resolve conflicts with a written precedence rule
When sources disagree, do not choose the newest timestamp automatically. A late-arriving signed amendment can be authoritative even if a stale integration wrote after it. Compare record type, legal or operational authority, effective date, status, and whether the change was approved.
Create a conflict exception that preserves both values, blocks dependent external action, names the reviewer, and records the chosen value and reason. Then correct the upstream source or mapping so the conflict does not recur on the next sync.
Control integrations as copies with responsibilities
For each integration, inventory objects read, objects written, direction, cadence, identifiers, retry behavior, duplicate handling, deletion behavior, authentication owner, and failure alert. “Two-way sync” is not a control description; it can conceal which system wins and what happens during partial failure.
Prefer idempotent writes for external effects: repeating the same request should not create a second charge, payment, message, or work order. Store provider identifiers and reconcile uncertain responses instead of retrying blindly after a timeout.

Do not wait for a migration or resident dispute to discover split authority. A monthly control can compare active lease rent with recurring charges, deposit subledger detail with its control total, settled provider receipts with ledger postings, open work orders with vendor states, and consent records with active communication channels. Review changed and exception records rather than rereading the whole database.
Record both the correction and the cause. A one-time data-entry mistake may need training; repeated rent mismatches may reveal a broken renewal handoff; orphaned payment events may expose an integration identifier problem. Trend reason codes without collapsing them into a vague data-quality score. The useful output is a named upstream fix and evidence that it worked.
Design portability before the relationship ends
List the records, attachments, history, schemas, identifiers, and reports needed to leave. Test exports while the account is healthy, not on the final subscription day. A readable CSV is not enough if document links expire, audit events are absent, or IDs cannot be joined across files.
Define who owns archives, access reviews, retention, legal holds, and destruction. Data portability is part of system-of-record design because a source that cannot be retained or transferred safely becomes a future custody risk.
