Connecting your CPA (view-only access)

Give your accountant read-only access for tax season, control exactly what they can see, and revoke it in one tap when the return is filed.

Why view-only

At tax time your CPA needs to see the numbers — rent collected, expenses, the general ledger, and the tax reports — but they should not be able to move money, edit leases, or change your agent settings. Aptoria handles this with role-based access: you invite your accountant to your workspace with a read-only role, and they get a login of their own instead of you sharing your password or exporting spreadsheets by hand.
Because it is their own account, everything they view is attributed to them in your records, and nothing they can reach lets them act on your portfolio.

Grant access

You invite a CPA the same way you would any teammate, from your staff/team settings, and choose the role that fits. For a CPA who should only look, the Viewer role is read-only everywhere — they can see financial surfaces but cannot make any changes. There is also an Accountant role if you want them to be able to act on financial tasks; for pure tax-season review, Viewer is the safe choice.
1
Go to Settings → Staff team (the landlord-only team screen).
2
Tap "Invite teammate" and enter your CPA's email address.
3
Choose the Viewer role for read-only access (or Accountant if they need to act on financials).
4
Send the invite — they receive an email link and set up their own login. Pending invites show an expiry date until they accept.

What your CPA can and cannot see

With the Viewer role, your accountant can open your financial surfaces — the general ledger, income and expenses, rent roll, and the tax reports and Schedule E package — everything they need to prepare a return. They cannot collect or move money, cannot edit leases or tenants, and cannot change agent policy or account settings.
For the actual handoff, the reporting screens let you produce the tax package and export the figures, so your CPA can pull what they need directly rather than asking you to assemble it.

Revoke when the return is filed

Access is not permanent, and taking it away is immediate. From the same Staff team screen you can remove a member or revoke a still-pending invitation in one tap; once removed, their login can no longer reach your workspace. It is good practice to grant access at the start of tax season and revoke it once the return is filed. Any access they had, and the fact that you revoked it, is captured in your audit trail.
