First-close manual-workaround retirement after PMS cutover

Retire spreadsheets, manual journals, duplicate reports, and temporary checks only after their replacement controls pass a defined live-cycle test.

Technical content review: Codex technical editorial review. Reviewed intent separation, internal consistency, original artifacts, failure states, source limits, privacy minimization, and links. No accounting, banking, security, safety, legal, tax, or other professional approval is claimed.

The short answer
Inventory every workaround introduced for cutover, identify the risk it covered, inputs, outputs, owner, downstream consumers, and expiry, then test the target control over a representative live cycle, reconcile overlap, archive the final artifact and instructions, remove write authority or scheduled execution, and monitor the next cycle for recurrence.

Key takeaways

  • A successful close does not automatically retire its workarounds.
  • Prove the replacement control before removal.
  • Disable duplicate writers and preserve the final bridge.

Inventory workarounds as temporary controls

Include spreadsheets, duplicate exports, manual journal templates, copied schedules, side ledgers, reminder lists, email approvals, and old-system lookups. Record protected location rather than copying sensitive data into the register.
State which defect, missing feature, or uncertainty each workaround covers.

Use explicit retirement gates

Monitor one cycle beyond retirement

Record final use, archive reference, removed access, disabled schedule, communication, fallback owner, and next-cycle check. A read-only archive may remain necessary even when operational use ends.
Reopen if staff recreates the spreadsheet or the target control fails.

Close with a passed replacement and disabled duplicate path

Name the population, cutoff, evidence version, owner, decision, unresolved exceptions, next checkpoint, and downstream records updated. Preserve the earlier state rather than replacing it with a clean current screen.
Reopen the record when a late event, changed source, new affected item, or downstream consequence invalidates the signed conclusion.

Edge cases

  • Spreadsheet contains an unresolved item: migrate the exception before retirement.
  • Old system remains read-only: distinguish lookup from operational processing.
  • Replacement is slower but correct: decide capacity separately from accuracy.
