Landlord workflow

How should landlords triage maintenance requests?

US landlords should record the property, unit, problem, safety signals, access permission, photos, and report time, then separate emergency escalation from routine scheduling. A priority label does not authorize a vendor, entry, spending, or closure. Aptoria can receive and triage requests for configured properties, retain the assigned owner and supporting evidence, and route uncertain or high-risk work to a person. Vendor dispatch and costs depend on policy and may require approval.

Key facts

Urgency and spending authority are separate decisions.
An unknown safety condition should escalate instead of being silently classified as routine.
A provider acknowledgment is not proof that a repair is complete.

What facts should the request capture?

Collect the affected unit, symptoms, onset, photos if offered, resident contact, access permission, and any immediate safety concern. Record who supplied each fact. A request with missing or conflicting information can still receive an acknowledgment while the operational decision waits.
Use a small set of response paths: emergency escalation, time-sensitive review, routine scheduling, and clarification needed. A resident’s description can be incomplete, so software should make the escalation path visible rather than promising a definitive diagnosis.

When may a vendor be dispatched?

Dispatch depends on the vendor, scope, access, spending authority, and applicable property policy. Triage, vendor selection, cost approval, work authorization, and payment are separate steps. When quotes exceed a cap or the job changes, return to the landlord or designated operator.
For emergencies, define who receives the alert, what after-hours contact is available, and how an unacknowledged alert escalates. Check local duties and the facts of the property with qualified people; this page is an operational framework, not a jurisdiction-specific legal rule.

What proves the request is complete?

Completion needs more than a vendor acknowledgment. A useful record connects the original request, classification, changes in urgency, vendor assignment, approvals, work updates, invoices, resident communication, and final confirmation. Keep open tasks distinct from completed work.
When evaluating Aptoria or another platform, ask to see a missing-fact case, a budget overrun, a vendor failure, an after-hours escalation, and a disputed completion. The product’s published availability should be checked before relying on a workflow in production.

How do maintenance tools compare?

Compare published intake, urgency, dispatch, cost authority, and records. A listed feature may depend on a plan, provider, or configured rule. “Not established” means the reviewed vendor page does not answer that question. A vendor acknowledgment is not evidence that a repair is finished.

Frequently asked questions

Can software classify an emergency?

It can flag known indicators and route an urgent alert, but uncertain facts and local obligations need a human escalation path.

Does a maintenance budget cap authorize all work?

No. Cost limits do not by themselves establish access permission, vendor approval, scope, or legal authority.

What if a vendor quote exceeds the cap?

Stop the dispatch or changed work, preserve the quote and original scope, and return the decision to the named person with authority. Record approval before the new work begins.
